Privacy Policy

Rainier Fire ("Rainier Fire," "we," "us," or "our") provides fire alarm installation, inspection, and service across Western Washington. This Privacy Policy explains what information we collect, how we use it, and the choices you have — including how we handle mobile phone numbers and text messaging (SMS) consent.

1. Information We Collect

Information you give us

  • Contact details — name, company or property name, mobile and landline phone numbers, email address, and service address.
  • Service information — building type, existing fire alarm equipment, inspection history, work orders, scheduled appointment times, and notes about the work requested or performed.
  • Billing information — invoices, purchase orders, and payment records. Card and bank details are processed by our payment provider; we do not store full payment card numbers.
  • Messaging preferences — whether you have agreed to receive text messages from us, when and how that agreement was given, and any later opt-out.

Information collected automatically

  • Website usage — IP address, browser and device type, pages visited, and referring page. Our host records standard server logs.
  • Map content — our Service Area page embeds Google Maps, which loads content from Google and is subject to Google's own privacy policy. The markers on that map are placed at the center of a ZIP code or city we have served — never at a customer's street address.

2. How We Use Your Information

  • Respond to quote requests and questions.
  • Schedule, perform, and document installation, inspection, testing, and repair work.
  • Send account- and service-related notifications — including appointment and inspection reminders, technician en-route and arrival-window notices, scheduling changes, job status updates, and quote or invoice follow-ups — by phone, email, or text message.
  • Maintain inspection records and reports required by NFPA 72 and your Authority Having Jurisdiction (AHJ).
  • Bill for services and keep our own business records.
  • Meet legal, regulatory, insurance, and licensing obligations.
  • Maintain the security and reliability of our website and systems.

3. Text Messaging (SMS) and Your Mobile Information

If you provide a mobile number and agree to receive text messages, we use it to send account-related messages about your service — such as appointment reminders, "your technician is about 30 minutes away" arrival notices, scheduling confirmations, and job status updates. We do not send marketing or promotional text messages.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors in support services, such as our messaging provider and scheduling software, is permitted solely so that we can deliver the messages you asked for. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

We never sell, rent, or lease mobile phone numbers or SMS consent data. Message frequency varies with your account activity and scheduled service — typically no more than four messages per service appointment. Message and data rates may apply. Rainier Fire does not charge for these messages, but your mobile carrier may charge for messages sent or received depending on your plan.

You may stop text messages at any time by replying STOP to any message from us, or reply HELP for help. Full messaging terms — including how consent is collected and carrier disclaimers — are in our SMS Terms & Conditions.

4. How We Share Information

We do not sell your personal information. We share it only in these situations:

  • Service providers. Vendors who work on our behalf — form and email handling, text messaging and scheduling platforms, our customer portal, accounting and payment processing, and IT hosting. They may use your information only to perform services for us.
  • Your building's stakeholders. Where you have asked us to, inspection reports and deficiency notices may be provided to your property manager, owner, insurer, or AHJ.
  • Legal and safety. When required by law, subpoena, or regulation, or to protect the rights, property, or safety of Rainier Fire, our customers, or the public.
  • Business transfers. If Rainier Fire is involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction, subject to this policy.

As stated above, text messaging originator opt-in data and consent are excluded from all sharing other than with the subcontractors that deliver the messages on our behalf.

5. How Long We Keep Information

We keep customer and service records for as long as your account is active and afterward for as long as needed to meet our legal, tax, insurance, and code-compliance obligations — inspection and testing records in particular are retained to satisfy NFPA and AHJ requirements. Records of text message consent and opt-out are retained for as long as required to demonstrate compliance.

6. Security

We use reasonable administrative, technical, and physical safeguards to protect the information in our care. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

7. Your Choices

  • Text messages. Reply STOP to any message, or call (360) 325-7357 or email info@rainierfire.com. Opting out of texts does not stop service phone calls or email needed to perform work at your building.
  • Email. Use the unsubscribe link in any non-transactional email, or contact us.
  • Access, correction, and deletion. Contact us to review, correct, or request deletion of the personal information we hold about you. We may need to keep records required by law or by fire code.

Consent to receive text messages is never a condition of purchasing any product or service from Rainier Fire.

8. Children's Privacy

Our website and services are directed to businesses and property owners. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. The "last updated" date at the top reflects the most recent revision. Material changes to how we handle text messaging will be reflected here before they take effect.
